The Ada County Public Defender's office provides legal representation in over 15,000 cases per year for individuals who are not able to afford the services of private counsel. Led by Anthony R. Geddes, the Office of the Ada County Public Defender employs 64 attorneys, 19 support staff members, eight investigators, and one social worker. Ada County Public Defender (Performs secretarial and technical work supporting multiple attorneys practicing criminal and civil law; performs related work as required. This position is located in the Ada County Public Defender's Office. General Job Description Summary Performs secretarial and technical work supporting multiple attorneys practicing criminal and civil law; performs related work as required. This position is located in the Ada County Public Defender's Office. Essential Functions + Establishes, organizes, and maintains digital casefiles within the office's case management software system; inputs information into case management system; monitors calendars; meets deadlines; and confirms case status with attorney; + Helps develop cases by maintaining contact with people involved in the case; schedules hearings and appointments; prepares, issues, and forwards for service subpoenas; drafts legal documents, correspondence, pleadings, agreements, responses, and discovery requests and responses; + Organizes incoming digital and physical case materials; + Proofreads briefs and other material for form, accuracy, completeness, grammar and punctuation; + Tracks assigned cases to assist the attorney with court case management and to help assure events are accomplished in the proper sequence and in the proper timeframe; + Files necessary documents with the appropriate agency (District Court, Supreme Court, etc.); + Assists attorneys in the preparation of files for litigation; + Researches files for information; + Answers written and verbal inquiries for routine information and handles them independently; + Receives, records, and transmits telephone calls to appropriate parties; + Takes minutes for meetings when required; + Updates job knowledge by reading professional publications. ADDITIONAL FUNCTIONS: + Acts as receptionist when needed; + May assist attorneys in conducting legal research and citation; + Performs related work as required. Job Requirements + High school diploma or equivalent; + Previous general secretarial experience or equivalent combination of education and experience preferred; + A minimum typing speed of 50 WPM; + Knowledge of business English grammar, spelling and punctuation, and arithmetic; + Knowledge of modern office equipment, practices and procedures; + Knowledge of legal terminology and legal forms, methods and procedures and rules of the court preferred; + Knowledge of legal research and citation preferred; + Skill in the operation of a personal computer; + Skill in Microsoft Office applications such as Word, Outlook and PowerPoint, experience with Adobe Acrobat preferred; + Ability to type from rough draft copy at a high rate of speed and accuracy; + Ability to prepare effective correspondence on routine matters; + Ability to work in a team environment; + Ability to be flexible in responding to a variety of requests; + Ability to establish and maintain effective working relationships with co-workers, supervisors, members of other agencies and the general public; + Ability to interact with the general public, some of whom may be irate or under stress, in a tactful and courteous manner; and + Ability to maintain confidentiality. OTHER REQUIREMENTS: + The incumbent is subject to a criminal records check; + Must adhere to the Code of Ethics set for the legal profession; + The incumbent will work closely with court personnel. Work Environment & Physical Demands + Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions; + May be required to lift up to 20 lbs.; + Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
