About the Opportunity
This is an opportunity for a Team Operations Associate to join a successful small real estate team based in Montclair, New Jersey at one of the top real estate offices in the region. The right candidate will be an organized, friendly self-starter who is resourceful, has a great attitude, is detail-oriented, and is a good communicator. This person will love paperwork, checklists, and “to do” lists. The ideal candidate has already worked in an assistant, transaction coordinator, or marketing coordinator role for a real estate company or team; bonus if it is in New Jersey. This is a full-time, in-office role.

Responsibilities
Assist and support Team Leader in all areas needing assistance including
Providing exceptional customer service to clients and outside agents
Coordinate and schedule all showing requests; confirm appointments
Listing & Transaction coordination (gathering information on the property) and familiarity with each property’s listing details and showing instructions
Insert listings into the MLS and ensure that all listing information is accurate
Coordinate photo shoots for new listings, make arrangements with outside vendors
Design, produce and circulate marketing materials (digital and print) for residential sales, listings, and showings such as e-blasts, property brochures, just sold/listed and listing presentations
Screen calls and direct calls and emails, using quick judgment to triage requests, distribute correspondence and confirm completion
Liaison between clients, attorneys, CPAs, managing agents, inspectors, RE agents, and anyone involved with the transaction
Maintain contacts, CRM, webpage and online profile, mailing lists, ensuring all data is up-to-date and accurate
Coordinating broker and client open house events and purchase and delivery of client gifts
Assisting Team Leader with drafting exclusives and listing activation
Daily administrative tasks organizing databases, social media, filing emails, etc
Social media content curation is a bonus
Qualifications
Outstanding organizational and time management skills with a high degree of accuracy; strong attention to detail; highly motivated
Positive team-oriented attitude; excellent verbal and written communication skills
Proven ability to problem-solve in a fast-paced environment
Ability to multitask, take initiative and prioritize daily workload
Ability to handle confidential information with discretion
Tech-savvy; up-to-date with latest office applications; proficient in Excel, Google Business & Workspace, Docusign, Microsoft Word
Experience using industry platforms a plus
NJ Licensed agent is a bonus (or willing to obtain license)
Compensation
$60,000 - $80,000 (depending on experience)
